Legal &Privacy Policy

1. Who we are

This policy explains how two companies collect and use personal information about visitors to ghanapropertyexpo.com and people who contact us about the Ghana Property & Lifestyle Expo (“the Expo”). We never sell your personal information, and we only use it for marketing about the Expo and its events. The Expo is organised and run by two UK companies, which both may see and use your information:

Ghana Property & Lifestyle Expo Ltd
Registered in England & Wales, No. 12042074. Registered office: 14 Ravensbury Avenue, Morden, SM4 6ET
Owns the Expo brand and this website, and organises the London and Accra events.

On Point Property Management Ltd
Registered in England & Wales, No. 09580164. Registered office: 14 Ravensbury Avenue, Morden, SM4 6ET
Manages the Expo, including enquiries, exhibitor and sponsor bookings, and event communications.

The two companies jointly decide how and why your information is used for the Expo, so they act as joint controllers under UK data protection law. They have agreed between them who handles which responsibilities. In this policy, “we”, “us” and “our” means both companies.

Whichever company you contact, you can exercise your rights against either of them, and they will co-operate to respond. Our contact details are in section 13.

2. The information we collect

We collect personal information in five ways:

  • Our website enquiry forms. When you ask about attending, exhibiting, sponsoring or press, or request an exhibitor or sponsorship pack. Section 3 sets out each field.
  • Event registration through Eventbrite. Free attendee registration for the London and Accra events is handled by Eventbrite. Eventbrite collects your registration details under its own privacy policy and shares them with us as the event organiser. These usually include your name, email address and any answers to registration questions.
  • Direct contact. When you email us (including info@ghanapropertyexpo.com), phone us, or message us on WhatsApp, we keep the details you give us and our correspondence with you.
  • At our events. If you speak to our team, visit the registration desk, or hand over a business card, we may record your name, contact details and the nature of your interest.
  • Website use. Technical information about how you use our website, such as pages visited, approximate location, device and browser type, collected through cookies and similar technologies (see section 7).

We do not ask for special category information (such as health, religion or ethnicity) and ask that you do not include it in messages to us.

3. Our website forms

Our website forms may collects the following:

  • First name and last name (required): to address you and identify your enquiry.
  • Email address (required): to reply to you and send any pack you request.
  • Phone number (optional): to call you back if you prefer.
  • Company name (optional): to understand which organisation an exhibiting or sponsorship enquiry relates to.
  • I live in (optional): to understand where our audience is based and which event suits you.
  • I am interested in (optional): attending, exhibiting, sponsoring, or press and media, so we can route your enquiry to the right person.
  • Event of interest (optional): all events, London or Accra, so we send you information about the right event.
  • Message (optional): to answer your question.
  • Newsletter tick box (optional): only if ticked, to send you news and updates about the Expo and its events (see section 5).

Submitting the form lets us respond to your enquiry. It does not sign you up to marketing: you only receive our newsletter if you tick the newsletter box.

Form submissions are stored securely in our website system and sent by email to the Expo team at both companies so we can reply. Press and media enquiries may be passed to our PR agency (see section 6).

4. How we use your information and our lawful basis

UK data protection law requires a lawful basis for each use of your information. Ours are:

Replying to enquiries and sending exhibitor or sponsorship packs you request
Legitimate interests (responding to people who contact us), or steps before entering a contract.

Managing exhibitor and sponsor bookings, invoices and event logistics
Performance of a contract.

Managing attendee registration and admission to our events
Performance of a contract with you (via Eventbrite), and legitimate interests in running safe, well-organised events.

Sending event updates essential to your attendance or booking (for example venue changes)
Legitimate interests or performance of a contract.

Sending newsletters and marketing about the Expo and its events
Your consent, or for exhibitor and sponsor contacts our legitimate interests (see section 5).

Understanding how our website is used and improving it
Legitimate interests in measuring and improving our website, using anonymised statistics only (see section 7).

Keeping financial records, and complying with tax and other legal duties
Legal obligation.

Protecting the website from spam and misuse
Legitimate interests.

Where we rely on legitimate interests, we have balanced our interests against your rights. You can object at any time (see section 11).

5. Marketing

We only send marketing about the Ghana Property & Lifestyle Expo and its events, such as future editions, tickets, speakers, exhibitors and event news. We never use your details to market anything else, and neither company uses Expo data to market its other services.

We send marketing emails:

  • to anyone who ticks the newsletter box on our forms, or opts in when registering on Eventbrite; and
  • to business contacts at exhibitors and sponsors, about future Expo events similar to those they have booked or enquired about.

We never sell, rent or trade your personal information, and we never pass it to exhibitors, sponsors or other third parties for their own marketing. If you want an exhibitor or sponsor to contact you, you can give them your details directly at the event.

You can stop marketing at any time by clicking “unsubscribe” in any of our emails, or by emailing info@ghanapropertyexpo.com. Unsubscribing does not affect messages we need to send about a booking or registration you have made.

6. Who we share your information with

Your information is shared between Ghana Property & Lifestyle Expo Ltd and On Point Property Management Ltd, only for running and promoting the Expo. Beyond the two companies, we share it only with:

  • Service providers who work for us, such as our website host, email and newsletter provider, IT support and accountants. They may only use your information on our instructions and must keep it secure.
  • Eventbrite, which runs attendee registration and acts as a controller of the details you give it, under the privacy policy published on the Eventbrite website.
  • Our PR agency, which handles press and media enquiries on our behalf.
  • Event venues and security staff, only where needed to manage admission and safety on the day.
  • Professional advisers, regulators, law enforcement or courts, where the law requires it or to protect our legal rights.

Exhibitors and sponsors do not receive your details from us. They only receive your information if you give it to them yourself, for example by talking to them at the event or having your badge scanned at their stand.

7. Cookies, analytics and embedded content

Cookies are small files placed on your device. We use:

  • Essential cookies, which make the website and its forms work securely. These do not need your consent.
  • Analytics cookies, through Google Analytics. These are used only to produce anonymous statistics, such as how many people visit, which pages are viewed, and which country visitors come from. We do not use them to identify you, for advertising, or to track you across other websites, and Google Analytics does not store your IP address. You can opt out at any time by installing Google’s Analytics opt-out browser add-on, or by blocking cookies in your browser. Google processes this data under its own privacy terms, and may process it outside the UK.

Embedded content. Our website shows video hosted by Vimeo and links to our pages on Facebook, Instagram, YouTube, LinkedIn and X. Eventbrite registration and WhatsApp messages take place on those providers’ own services. These companies may collect information about you under their own privacy policies when you watch embedded content or follow these links.

You can also block or delete cookies in your browser settings, though parts of the website may not work properly if you do.

8. International transfers

Both companies are based in the UK, and we aim to store your information in the UK. Some of our service providers (such as Google, Vimeo and Eventbrite) may process information in other countries, including the United States.

Because we run an event in Accra, we may also share limited information with our event team, venue and partners in Ghana, where needed to deliver that event to you.

Whenever your information leaves the UK, we make sure it is protected, for example by transferring it only to countries the UK recognises as having adequate protection, or by using the UK’s approved contract clauses (the International Data Transfer Agreement or Addendum).

9. Keeping your information secure

We protect your information with appropriate technical and organisational measures. These include encrypted (HTTPS) connections to our website, access controls so only staff who need your information can see it, secure passwords and multi-factor authentication on our systems, and written agreements with our service providers.

No system is completely secure. If a breach affects your information and is likely to put you at high risk, we will tell you and the Information Commissioner’s Office as the law requires.

10. Your rights

Under the UK GDPR and the Data Protection Act 2018, you have the right to:

  • access the personal information we hold about you and receive a copy;
  • correct information that is wrong or incomplete;
  • delete your information, where we have no good reason to keep it;
  • restrict how we use your information in certain circumstances;
  • object to our use of your information based on legitimate interests, and to marketing at any time;
  • move information you gave us to another organisation (data portability);
  • withdraw consent at any time, where we rely on consent. This does not affect anything we did before you withdrew it.

To use any of these rights, contact us using the details in section 13. We will not charge you, and we will respond within one month. We may need to confirm your identity first.

11. Children, other websites and changes to this policy

Children. Our website and enquiry forms are intended for adults. We do not knowingly collect information from anyone under 18. If you believe a child has sent us their details, please contact us and we will delete them.

Other websites. Our website links to exhibitors, sponsors, partners and social media sites. We are not responsible for how those sites handle your information, so please read their privacy policies.

Changes. We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.

12. Contact us and complaints

  • Phone: +44 (0)20 3735 8977
